Responsibilities:

  • Maintain employee personnel files, HR records, and related documentation in an accurate, organized, confidential, and current manner.
  • Coordinate recruitment activities, including job postings, receiving and reviewing 
  • applications, initial candidate screening, scheduling interviews, communicating with candidates, and assisting management throughout the hiring process.
  • Coordinate new employee onboarding and orientation, including completion of required employment documentation, company policies, benefit information, and other required records.
  • Process and maintain documentation related to new hires, employee status changes, transfers, promotions, compensation changes approved by management, and employee separations.
  • Maintain attendance, vacation, sick leave, and other employee leave records and coordinate information with Payroll and management as required.
  • Assist employees with routine questions regarding company policies, benefits, attendance, leave, and other HR-related matters.
  • Coordinate employee benefits enrollment, changes, terminations, and related documentation and communicate with benefit providers as necessary.
  • Coordinate workers’ compensation documentation and follow-up with employees, management, insurance representatives, medical providers, and other appropriate 
  • parties.
  • Maintain employee training records and assist departments in coordinating 
  • required training, orientations, certifications, and other employee development activities.
  • Coordinate the performance evaluation process by notifying supervisors of due dates, distributing appropriate forms, following up on completion, and maintaining completed evaluations in employee records.
  • Assist supervisors and managers with the proper documentation of employee attendance, performance, conduct, counseling, and disciplinary matters.
  • Prepare disciplinary documentation based on information and direction provided by the appropriate supervisor or management and maintain the corresponding records.
  • Receive employee questions, concerns, or complaints in a professional and confidential manner and communicate or escalate significant employee-relations matters to management as appropriate.
  • Assist management with workplace investigations by gathering information, 
  • coordinating interviews, maintaining documentation, and providing administrative support.
  • Final conclusions and employment decisions remain with management.
  • Maintain and distribute current Human Resources policies, procedures, employee handbook revisions, forms, and related documents as approved by management.
  • Monitor routine HR documentation and practices for consistency with company policies and applicable employment requirements and bring potential compliance concerns to management’s attention.
  • Maintain required workplace labor notices and coordinate updates when necessary.
  • Prepare employment verification letters and other routine employee documentation as authorized.
  • Assist with unemployment claims, employment-related information requests, and other HR administrative matters as required.
  • Coordinate with temporary employment agencies and other staffing providers regarding personnel requirements, employee documentation, attendance, and related administrative matters.
  • Prepare and maintain basic Human Resources reports and metrics, including, headcount, turnover, absenteeism, vacancies, recruiting status, training status, and other information requested by management.
  • Assist management in communicating company policies, procedures, employee notices, and other HR-related information.
  • Promote professional communication and respectful workplace practices and assist employees and supervisors in understanding applicable company policies.
  • Maintain strict confidentiality of employee, compensation, disciplinary, medical, and other sensitive personnel information.
  • Support company audits, customer requirements, and compliance activities 
  • involving Human Resources records and employee documentation.
  • Perform other Human Resources and administrative duties consistent with the 
  • scope and level of the position as assigned.

Qualifications:

  • Associate Degree in Human Resources, Business Administration, Management, or related field preferred; equivalent experience may be considered.
  • Previous experience in Human Resources, personnel administration, or related administrative functions.
  • Knowledge of HR practices, employment documentation, recruitment, onboarding, employee records, benefits, and employee relations.
  • Strong organizational, recordkeeping, interpersonal, and communication skills.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Bilingual in English and Spanish preferred.
  • Ability to work independently and recognize matters requiring management review.
